PRIVACY POLICY
(Last updated: October 2025)
1. Introduction
Little Peaks Nannies (“we”, “our”, “us”) is a childcare coordination agency registered in the Republic of Slovenia.
We are committed to protecting the privacy and personal information of everyone we work with families, nannies, and website visitors in full compliance with:
the EU General Data Protection Regulation (GDPR),
the Slovenian Personal Data Protection Act (ZVOP-2), and
where applicable, the UK GDPR when dealing with UK clients or nannies.
This Privacy Policy explains what personal data we collect, how we use it, how long we store it, and what rights you have under these laws.
By using our services or website, you agree to the terms of this Privacy Policy.
2. Information We Collect
We collect only the information that is necessary to organise and manage childcare coordination safely and effectively.
We may collect:
Contact details: name, phone number, and email address.
Booking information: accommodation area, service type, dates, and duration.
Additional notes: such as a child’s age, allergies, routines, or special needs (if you choose to share them).
Payment details: limited billing or invoice information — we do not store credit-card data.
Website usage data: via cookies and analytics (see Section 5).
We do not collect or store any sensitive personal data (as defined by Article 9 GDPR religion, ethnicity, medical records, etc.) unless it is essential for childcare safety and provided voluntarily with explicit consent.
3. Why We Use Your Data
We process personal information only for legitimate and transparent purposes, including to:
arrange and manage bookings between families and nannies,
confirm services and provide updates,
issue invoices and maintain accounting records,
comply with legal and tax obligations in Slovenia and the EU,
improve customer experience, website performance, and communication, and
prevent fraud or misuse of our services.
Each purpose is based on one or more lawful grounds under Article 6 GDPR, such as contractual necessity, consent, legal obligation, or legitimate interest.
We never use your data for unrelated or commercial purposes without your explicit permission.
4. Cookies & Website Analytics
Our website uses cookies and analytics tools (for example, Google Analytics) to:
understand how visitors use our site and improve navigation,
remember your preferences (such as language), and
analyse performance to make our services better.
You can disable or manage cookies in your browser settings at any time.
Full details are available in our separate Cookie Policy linked on our website.
5. Data Sharing
We respect your privacy and will never sell or rent your personal data.
Information is shared only when necessary to deliver our services:
With nannies: only after a booking is confirmed, and only the minimum details needed for them to perform their duties (name, contact, location, and relevant childcare notes).
With service providers (“processors”): such as email, web-hosting, or invoicing software, all operating under Article 28 GDPR agreements.
With authorities or regulators: only when legally required (e.g., court order or tax audit).
All third parties are bound by strict confidentiality and GDPR-compliant data-protection obligations.
6. International Data Transfers
All personal data is stored and processed within the European Union (EU).
If data must be transferred outside the EU or the UK (for example, to communicate with UK clients), such transfers occur only under:
a valid Adequacy Decision of the European Commission, or
Standard Contractual Clauses (SCCs) ensuring equivalent protection.
7. Data Security
We take data security seriously and use technical and organisational safeguards to keep your information safe:
secure HTTPS encryption across our website and email,
password-protected systems and encrypted backups,
limited access granted only to authorised personnel,
GDPR-compliant cloud and communication tools.
We never store personal data on unsecured or personal devices.
In the unlikely event of a data breach, affected individuals and authorities will be notified in line with Articles 33 and 34 GDPR.
8. Data Retention
We keep personal data only for as long as necessary to fulfil the purposes described above:
Booking, communication, and invoice data are kept for up to three (3) years after the last booking, or longer if required by law (for example, accounting).
Nanny and client correspondence may be retained for up to three (3) years for service verification and legal compliance.
After these periods, all data is securely deleted or anonymised.
9. Children’s Privacy
We take children’s privacy especially seriously.
Children’s data (first name, age, routines, allergies) is processed only with the explicit consent of parents or legal guardians and only for the purpose of delivering childcare safely.
We never use children’s information for marketing, analytics, or unrelated activities.
10. Your Rights Under GDPR and ZVOP-2
You have the right to:
access your personal data (Article 15 GDPR);
correct or update inaccurate information (Article 16);
request deletion of your data — “the right to be forgotten” (Article 17);
restrict or object to certain processing (Articles 18–21);
withdraw consent at any time;
request data portability — to receive your data in a structured, readable format (Article 20).
To exercise these rights, please contact us at [email protected].
You may also lodge a complaint with your national authority or the Information Commissioner of the Republic of Slovenia (Informacijski pooblaščenec).
11. Marketing Communications
We send newsletters or special offers only with your explicit consent.
You can unsubscribe at any time by clicking the “Unsubscribe” link in any email or contacting us directly at [email protected].
We never add anyone to a mailing list without permission.
12. Confidentiality and Data Use by Nannies
When you book a nanny through Little Peaks Nannies:
only the minimum necessary details are shared with the nanny (e.g., contact, booking location, and relevant childcare notes);
every nanny signs an Independent Contractor Agreement with confidentiality and GDPR clauses;
nannies are instructed not to store, share, or reuse your personal information beyond the confirmed booking period.
This ensures full GDPR compliance and equal protection for both families and nannies.
13. Policy Updates
We may update this Privacy Policy from time to time to reflect legal or operational changes.
Any updates will be published on this page with a new effective date, and, where required, we will notify you directly.
Continued use of our services after such updates constitutes acceptance of the revised Policy.
14. Dispute Resolution & Jurisdiction
This Privacy Policy and all processing of personal data are governed by Slovenian law.
We aim to resolve any concerns quickly and respectfully.
If a dispute cannot be resolved amicably, it may be referred to the Information Commissioner of Slovenia or to the competent Slovenian courts.
